Hope Station 5k Volunteer Waiver

HOPE STATION 5K RUN VOLUNTEER WAIVER & RELEASE AGREEMENT

Thank you for volunteering for the Hope Station 5K Run. Your support is essential to the success of this event. Please carefully read and sign the following waiver and release agreement before participating as a volunteer.

WAIVER & RELEASE OF LIABILITY

I, the undersigned volunteer, understand and acknowledge that participating in the Hope Station 5K Run as a volunteer involves certain risks, including but not limited to accidents, injuries, and exposure to various weather conditions. In consideration of being permitted to volunteer at this event, I agree to the following terms:

Assumption of Risk – I acknowledge that my participation as a volunteer is voluntary and that I assume full responsibility for any risks, injuries, or damages that I may sustain while performing my duties.
Release and Waiver – I hereby release, discharge, and hold harmless Hope Station, its directors, officers, employees, event sponsors, affiliates, and all other associated entities from any and all liability, claims, losses, or damages, including those caused by negligence or otherwise, arising out of or in connection with my volunteer participation.
Medical Treatment – I grant permission to event organizers to provide or seek medical treatment for me in the event of an injury or emergency. I understand that I am responsible for any medical expenses incurred as a result of my participation.
Code of Conduct – I agree to conduct myself in a professional and responsible manner, following all instructions given by event organizers, and treating participants, spectators, and fellow volunteers with respect.
Photography & Media Release – I grant Hope Station permission to use my likeness, name, and any photographs or videos taken of me during the event for promotional, marketing, or media purposes without compensation.
Confidentiality – If I am given access to any personal or confidential information during my volunteer service, I agree to keep such information private and not disclose it to unauthorized parties.
Termination of Participation – I understand that event organizers reserve the right to dismiss me from my volunteer duties at any time if I fail to comply with event policies or if my conduct is deemed inappropriate.

Hope Station 5k Job Details

Check Point Monitors

As a Checkpoint Monitor, your role is to supervise various checkpoints along the trail to ensure the safety and well-being of runners. Responsibilities include: Distributing water bottles to participants. Checking in with runners and assisting with any needs. Guiding tired runners to shaded, seated areas for rest. Directing participants along the correct route. Encouraging and cheering on runners to keep them motivated!

Race Course Marshal

Join the runners on the course and help ensure a smooth and safe race experience by: Running alongside participants to guide them along the correct path. Monitoring the trail for any obstacles, hazards, or disruptions. Assisting runners who may need directions or support. Communicating with event staff about any concerns on the course. Encouraging and motivating participants throughout the race.

Tent Helper

As a Tent Helper, you will assist volunteers in ensuring a smooth and organized experience for participants. Your responsibilities include: Helping manage orderly lines for screenings and registrations. Keeping the area around the tents clean and free of obstacles. Assisting with the setup of the T-shirt distribution and sign-in area. Answering participant questions and providing directions as needed. Supporting volunteers with any additional tasks to maintain efficiency. Your role is essential in creating a welcoming and organized environment for all attendees!

Aide to Event Coordinator

As an Aide to the Event Coordinator, you will play a key role in supporting event operations and ensuring a seamless experience for volunteers and participants. Your responsibilities include: Assisting the Event Coordinator in overseeing volunteers and addressing their needs. Checking that each water station is fully stocked and replenished as needed. Being on standby to assist in case of a medical emergency. Providing support to any area of the event as necessary to ensure smooth operations. Communicating with event staff to report any issues or urgent needs. This role requires adaptability, strong communication skills, and a proactive attitude to help create a successful and well-organized event!
